Tariffs for copying and using Mills Archive material
Introduction
The aim of the Mills Archive is to protect our collections and make them available for public inspection free of charge. Our online Archive catalogue provides free access to images of our catalogued material either at home, school or in public libraries.
The Mills Archive Trust does not receive support from public funds to cover its running costs, so we are obliged to charge users the full cost of providing copies of material.
Free services
Researchers may search our online Archive and Library catalogues free of charge, and also examine low resolution images free of charge. (Brief summary information from our Mill People database is also free, but full details are restricted to Friends of the Mills Archive.)
In addition, visitors who make an appointment will be able to inspect originals, browse our library and use our catalogue at our Research Room in Reading.
Research fees
There is a separate page dealing with requests for us to carry out research on your behalf.
Reproduction policy and costs
We do not allow the use of personal cameras to photograph our documents, nor will we photocopy items. Instead we will provide scans done by our trained volunteers.
This is to ensure we are protected against inadvertent copyright violations, that we conserve our holdings, and that we benefit as an archive from copying material. By scanning something ourselves we can add it to our catalogue.
All requests for printed or high resolution copies of material will be subject to a charge to cover our costs. High-resolution scans will be made from which we can provide photographic prints. The quality of the print will depend on the state of the original. We will not photocopy material. Receipt of payment will entitle the purchaser to either a CD-ROM of the high-resolution images or photographic prints of each individual image. It is quicker, cheaper and easier for us if you request the images by email.
The reproduction charge to private individuals (to be paid in advance) is £10.00 per image by email, or £15.00 by CD or print. For commercial concerns the rate is £50 per image (or higher for very high resolution images.) Friends of the Mills Archive are entitled to 10 free high-resolution images per year.
Cheques should be made payable to The Mills Archive Trust, or payment may be made using a credit card via Paypal. If you wish to pay by a cheque drawn on a British bank, print a copy of the order form (PDF, 16KB) and (if appropriate) the copyright form (PDF, 24KB). After completing them, mail them to us with your remittance. Address details may be found on our Contact page.
If you wish to pay for material by credit card complete this online form. We shall then confirm the total cost and send you the Paypal invoice and link to use for payment.
Copyright fees
At the time of order, the purchaser must declare that the images are for research and private study only and will not be passed to others. Alternatively, if the images are to be used in any publication, permission must be first obtained from the Mills Archive by returning the relevant form. A copyright acknowledgment will be required whenever the image is reproduced.
If publication is envisaged or subsequently an image is published, a copyright fee will be charged. The copyright fee may be waived or reduced at the discretion of the Trustees and details are available of the categories of use and user which would qualify.
The copyright fee for private individuals is £50.00 for each high resolution image. Commercial rates are available on application. Fees may be waived for Friends of the Mills Archive.
Cheques should be made payable to the Mills Archive Trust and mailed with the completed form to the address above. If you wish to pay a copyright fee by credit card use our online form. We shall then confirm the total cost and send you the Paypal invoice and link to use for payment.
